Twotone is a connector, creator, and community-builder for the global cycling industry. From PR and branding to photoshoots, content creation, and B2B introductions, the six-person team helps e-bike brands, cargo bike manufacturers, and gear makers launch, grow, and stand out. Founder Jon Woodroof also runs a co-working space in Amsterdam called Workspace Six, hosts industry events, and somehow still finds time to raise six kids. To keep that kind of momentum going, Jon needed a scheduling tool that could match his pace. Since adopting Calendly in 2014, Twotone has scheduled over 1,300 meetings, streamlined internal coordination, and delivered a polished, professional first impression to every partner and client — no matter the time zone.

Before launching Twotone Amsterdam, Jon Woodroof had already seen how scheduling chaos could hold businesses back. In previous roles, he’d dealt with the email ping-pong, the missed meetings, and the time zone confusion that derailed important conversations. So when he set out to build a modern, fast-moving agency in the cycling industry, he knew scheduling needed to be frictionless from day one.

“Even with the right tools, if you get wires crossed — you’re cooked,” Jon says. “I’d made that mistake before. One wrong AM/PM in Japan, and the whole thing falls apart.”

With a small team, a packed schedule, and partners across Europe and beyond, Twotone couldn’t afford delays or miscommunication. Whether planning a new business pitch, collaborating on a trade show, or showing potential tenants through Twotone’s Workspace Six co-working space, Jon needed a system that made scheduling easy for everyone — clients, colleagues, and collaborators alike.

When Jon launched Twotone, he brought Calendly along with him — having first encountered the tool during his time in Atlanta’s tech scene. “I’ve been using Calendly since before Twotone even existed,” he says. “It just worked — and it still does.”

Jon set up a branded shortlink (twotoneams.link/meet) that now serves as his universal scheduling page. It’s embedded in emails, included in proposals, and often the first step in a new client relationship.

And, thanks to the Calendly Slack integration, discovery calls automatically ping the sales channel, keeping everyone in sync without extra effort.

The team uses Calendly’s Google Chrome Extension to insert time slots directly into email replies, maintaining a human touch while making the booking process seamless. “It’s more personal than sending a link, but way more efficient than manually suggesting times,” Jon explains.

For group scheduling, Meeting Polls have been a game changer. Whether organizing a panel before a major trade event like Eurobike or syncing with several partners across Europe, everyone simply votes on their preferred time and Calendly takes care of the rest. The team also uses Round Robin scheduling to route visitors to the first available team member for tours of the Workspace Six co-working space. 

Jon even enhanced the post-booking experience: when someone books a meeting through Calendly, they’re automatically directed to Twotone’s newsletter sign-up page.

That one automation helps us grow our audience, stay top-of-mind, and warm up leads before we even meet.
