What's the difference between an Organization, a Team Page, and a Group?
Calendly offers different ways to organize people and share scheduling across your business. Understanding the differences between your organization, team pages, and groups helps you set up the right structure for how your team works.
What is an Organization?
An organization is the highest level structure in Calendly. It includes everyone with a Calendly account at your company or business.
When you set up an organization:
- All team members belong to one organization
- The organization owner or an admin manages users, billing, and settings for everyone
- Members can be assigned different roles with different permission levels
- Everyone shares the same billing account
If you have multiple team members, you need an organization. It's the foundation for collaboration in Calendly.
What is a Team Page?
A team page allows you to share a scheduling landing page for a collection of assigned team members with your customers. A team page can show all the people on a specific team and their availability.
When you create a team page:
- You select which team members and event types appear on it
- Team members must be part of your organization
- Each team page has its own link that you can share
Team pages work best when you want clients or customers to book time with any available person on your team. For example, a sales team page can include individual collective event types for each individual sales rep as well as a round robin event type. This lets customers book time with a specific sales rep or whichever rep is available first, all from one link.
What is a Group?
Different from group event types, a group is a collection of users that admins can set up to manage people and track group activity. Supervisors or group leaders can be assigned as group admins in Calendly to perform limited admin functions for their group.
When you create a group, you can:
- Organize users by department, team, or location
- Let group admins manage and report on their group
- Track meetings and activity by group
Groups help you organize users by department, team, or location, and give group admins the ability to manage and report on their group's activity. For example, you might create a sales group so the sales manager can track meetings and manage the sales team in one place.
Key Differences
Feature | Organization | Team Page | Group |
Purpose | Foundation for multi-user collaboration | Team scheduling landing page for customers to use | Organize users and track team activity |
Audience | Internal: Team members and admins | External: Customers and clients | Internal: Group members and admins |
Best for | Company-wide management | Team based customer and client bookings | Department or team organization and reporting |
How They Work Together
These three structures are not separate. They work together in your Calendly setup:
Your organization is the foundation. It contains all your company. From there, you create team pages to share with customers and groups to organize departments and track group activity.
For example, your sales department has three regions and one supervisor. You can:
- Set up your organization with all company employees
- Create a team page for each sales region so users can schedule with a specific person from that region or choose a round robin event type to schedule with anyone available
- Set up a group for sales with the sales manager as a group admin so they can track and report on department-wide activity
