How to set up a contact automation to apply fields

Apply fields contact automations automatically add tags or information to a contact when they book a meeting. For example, you can automatically add a "Lead Source" tag based on which meeting type they booked.

Requirements to set up contact automations

  • You must have an event type you want to add the contact automation to

Step 1 – Create an Apply fields contact automation

  1. Go to Scheduling.
  2. Select the event type you want to edit to open the editor.
  3. In the editor, select More Options.
  4. Look for the Contact automations section.
  5. Select + Add to create a new automation.
  6. Select Apply field.

Step 2 – Choose your field

  1. In the Apply field section, select Choose field.
  2. You can either:
    • Select an existing field from your contacts
    • Create a new field by typing the field name

If you create a new field, choose the field type:

  • Text: Single word or short phrase (like a source name)
  • Tags: Multiple values you can add to the same contact
  • Number: A numeric value

Step 3 – Set the field value

  1. Choose what value to apply to the field.
  2. This value will be added to the contact every time they book this event.

Example: If your field is "Source" and you want to tag everyone who books a Sales Demo as coming from your website, you would:

  • Field: Source
  • Value: Website

Step 4 – Add multiple fields (optional)

You can make one automation apply to multiple fields at once. For example, when someone books a Sales Demo, you could:

  • Set Source = Website
  • Set Meeting Type = Sales Demo
  • Set Status = New Lead

To add another field:

  1. Select + Add field.
  2. Choose the field and value.
  3. Repeat as needed.

Step 5 – Enable your contact automation

When you're ready to start using the contact automation:

  1. Review your settings to make sure they're correct.
  2. Select the toggle to Enable the contact automation.
  3. The contact automation is now active and will run for future bookings.

Frequently asked questions

Check these things:

  • The contact automation is enabled (toggle should be on)
  • The contact booked the specific event type the contact automation is set up for
  • You set up the contact automation before they booked

If you created a new field but can't select it, make sure you finish creating the field in the contacts section first. Then come back to the contact automation setup and refresh the page.

If the field didn't get filled in even though the automation ran, check that the field type matches what you're applying (like applying text to a text field) and the automation is still enabled.

No. Contact automations, mappings, and changes to them only apply to new bookings made after you set them up. If a contact booked before you created the automation or mapping, they won't be affected.

Changes to existing automations also only apply to future bookings—contacts who already booked won't be updated. This protects your existing contact data from changing unexpectedly.

Yes. Contact automations overwrite existing field values when they run.

Example: If a contact's "Source" field is set to "LinkedIn" and you apply an automation that sets "Source" to "Website," the field updates to "Website" after the booking.
