How to manage contact lists

Contact automations can automatically add contacts to lists when they book. You can also manually add or remove contacts. This gives you flexibility to organize contacts who didn't book through a specific event type, or to fine-tune your lists.

Understand lists vs. views

Lists and views are different tools:

Lists: Manually managed. You choose who goes on them. Great for specific groups like "Hot Prospects" or "Recent Meetings."

Views: Automatically filtered based on criteria you set. They show all contacts matching your criteria. Great for broad categories like "All contacts from acme.com" or "All contacts booked in 2024."

Use lists when you want to hand-pick who's included. Use views when you want everyone matching certain criteria automatically included.

Add a contact to a list

  1. Go to Contacts.
  2. Select the contact(s) you want to add to a list.
  3. Select Add to list from the bulk action bar.
  4. Select the existing list you want to add the contacts to from the dropdown, or select + Create new list, give the list a name, and select it.
  5. Select Add to list.

Remove a contact from a list

  1. Go to Contacts.
  2. Open the list you want to edit.
  3. Select the contact(s) you want to remove from the list.
  4. Select Remove from list in the bulk action bar.
  5. Confirm your choice by selecting Remove from list.

The contact is removed from the list but not deleted from your contacts.

Rename a list

  1. Go to Contacts.
  2. Select the pencil icon next to your views and lists.
  3. Select the three dots next to the list you want to rename and select Rename.
  4. Edit the name.
  5. Select Save.

Delete a list

  1. Go to Contacts.
  2. Select the pencil icon next to your views and lists.
  3. Select the three dots next to the list you want to delete and select Delete list.
  4. Confirm your choice by selecting Delete list.

When you delete a list, contacts on it are not deleted. They just lose that list assignment.

Frequently asked questions

Manual adds are one-time actions where you choose exactly who to add. Contact automations run automatically when contacts book and apply to all future bookings. 

Use both together: Automations handle the automatic work, and manual adds let you fine-tune your lists.

If you manually add someone to a list and a contact automation also adds them to that list, they only appear once. No duplicates.

Example: You manually add Jane to "Hot Prospects" and she books a Demo that has a contact automation to add to "Hot Prospects." She's still just on the list once.

A contact automation might have added them. Check your contact automations to see if one is set up to add to that list.
