Trusted Tech puts clients first with Notetaker

A tech consultant lets Notetaker handle the details so he can focus on his clients.

I started Trusted Tech, LLC by helping people.

I’m Bill Lamm, Founder of Trusted Tech, a technology consulting business that helps people get more out of the technology they use every day. That might mean troubleshooting a slow computer, fixing a printer, teaching someone how to use a device, or helping a client negotiate a better rate on their internet, cable, or cell phone bill.

The business started organically. I had always been the techie person friends, family, and neighbors came to when something wasn’t working. Those requests eventually became a side hustle, and as referrals grew, the side hustle became my full-time business.

That personal connection is still at the heart of how I work.

Technology can be frustrating, especially when you're already dealing with a complicated problem. My clients aren't coming to me because they want to become experts in telecom pricing or computer troubleshooting. They want someone who will listen, understand what's happening, and help make the problem easier.

But as a small business owner, helping the client is only part of the job.

There’s scheduling, meeting preparation, note taking, follow-up, billing, bookkeeping, and everything else happening behind the scenes. For years, I thought some of the tools that could automate that work were things my business wasn't big enough to need.

Looking back, I had it backward.

The Challenge: Giving clients my full attention without losing the details

One of the biggest lessons I've learned as an entrepreneur is that I should have invested in tools sooner.

For a long time, I thought, "I'm a small business. I'm not big enough for that yet." Calendly itself is a perfect example. Once I finally started using it, I realized how much time I'd been spending manually coordinating availability, confirming appointments, and following up with clients.

Taking meeting notes created a similar problem.

My work can get technical very quickly. During a monthly bill savings consultation, a client might have several services, different prices, promotions, equipment charges, and follow-up steps we need to sort through. During a virtual tech support appointment, we might troubleshoot several issues and make multiple changes to someone's computer over the course of the conversation. Those little details matter.

Before Notetaker, capturing them meant dividing my attention. I needed to listen to the client, answer their questions, troubleshoot the problem, and make sure I was writing down everything we'd need later. That's difficult to do well at the same time.

And the longer or more complicated the meeting, the harder that becomes. After spending hours troubleshooting with a client, I'm simply not going to remember every follow-up that came up along the way.

Trusted Tech

I needed a note taker that could pay attention to the details while I paid attention to the person.

The Solution: Let AI handle the notes while I focus on the client

Calendly Notetaker caught my attention because it felt like a genuinely useful AI notetaker It wasn't AI added to a product just for the sake of saying it had AI. It was taking something I was already doing manually and automated it. So I started testing it during client meetings. What surprised me wasn't that it worked. It was how many small details it caught that I could have easily forgotten.

I'll finish a conversation, look at the recap, and see an action item that makes me think, "I'm glad Notetaker was paying attention to that.”

For my monthly bill savings consultations, Notetaker captures the different parts of a client's current services, pricing, and the action items we discuss. After the call, I can use that meeting summary to build the client's internal documentation and savings summary. If I need to send paperwork or handle another follow-up, the action items are already waiting for me.

For virtual tech support, the meeting transcription creates something equally valuable: a record of what we actually did. If the same problem comes up later, my client or I can reference the conversation instead of trying to reconstruct which settings we changed or which steps solved the problem.

But the biggest difference happens while I'm actually talking to the client. Notetaker takes a weight off my shoulders. I know the meeting is being captured, so I don't have to keep switching between listening and thinking, "Wait, I need to write that down."

Instead, I can focus on the human connection. That's important because the relationship is a big part of why people come to Trusted Tech in the first place. My job isn't simply to fix a computer or negotiate a cable bill. It's to listen to what someone needs, make technology feel less overwhelming, and give them confidence that I'm taking care of the problem. Before Notetaker, I was splitting my attention between creating that experience and making sure my notes were complete.

Now I can focus on the human element while AI handles more of the administrative work for me.

And the meeting transcript isn't just valuable to me. I've had clients specifically want a transcript so they have something they can reference afterward. That turns my meeting notes into something my clients value.

Results and What’s Next: Less admin, more time helping people

The biggest benefit is that I spend less energy documenting the work and more energy actually helping my clients. Calendly is already where I manage so much of my client workflow. Before a meeting, Meeting Briefs remind me what I need to know about the person I'm about to see. During the meeting, Notetaker captures the conversation. Afterward, the meeting summary and action items help me determine what needs to happen next.

That means I can stay focused on the client during the conversation without starting from scratch when it's time to follow up. Whether I'm preparing a savings summary or documenting the steps from a tech support appointment, I already have a record of what we discussed and what needs to happen next.

Looking back, one of my biggest lessons as an entrepreneur is that I wish I'd adopted tools like this sooner. You don't have to wait until your business is bigger to automate work that doesn't require your personal attention.

Trusted Tech

Before the meeting, I'm prepared. During it, I can be present. Afterward, I know what needs to happen next.
