When Outlook and Calendly don't sync properly, it's usually one of two problems: Outlook events aren't blocking your availability, or new Calendly bookings aren't showing up in Outlook. Both usually trace back to your calendar connection or how events are marked.

Why does Calendly only block some of my Outlook events?

Calendly blocks time only for events marked Busy (and, by default, Tentative, Away/Out of Office, or Working Elsewhere). Events marked Free don't block bookings, no matter what they're for. To block time for a Free event, change its status to Busy, or change your Calendly Availability instead.

My Outlook events aren't blocking my availability. What should I check?

  1. Go to Settings → Scheduling and confirm your availability schedule reflects the times you want to be bookable.
  2. Go to Settings → Scheduling → Calendars to confirm you're connected to the right calendar (Office 365/Outlook.com, Outlook via plugin/Exchange, or the Outlook desktop app). If you're unsure which one, disconnect and reconnect.
  3. In Calendars to check for conflicts, confirm the Outlook calendars with your busy time(s) are selected.
  4. In Outlook, right-click each event that should block time and check Show As. Change it to Busy if it shows Free. Check all-day and multi-day events too, since they often default to a different status.
  5. Test by trying to book a time that overlaps a Busy event. It should no longer be available.

My bookings aren't appearing in my Outlook calendar. What can I do?

  1. Go to Settings → Scheduling → Calendars and confirm the right calendar is selected under Calendar to add events to. Calendly can publish to only one calendar at a time.
  2. If events still don't appear, disconnect your Outlook calendar, wait a few seconds, then reconnect it and reselect your calendars.
  3. Test with a new booking. Confirm the time disappears from your booking page, the event shows on your Calendar page, and the event appears on the selected Outlook calendar.

Frequently asked questions

Whenever possible, connect directly to Office 365/Outlook.com. It's more reliable. The desktop plugin only works if it's installed on a Windows computer, running in the background, and your device is online for real-time sync. If the plugin is causing problems, confirm all three are true, or switch to the direct connection.

Only the calendars selected under Calendars to check for conflicts are checked. Confirm the calendars you want monitored are selected, and that their events are marked Busy. Shared calendars sometimes default to a different status.
